What we collect, why we collect it, and what you can ask us to do with it. Written for the buyers, suppliers and program managers whose orders run through Manufex.
1. Introduction
Welcome to Manufex.
Manufex ("us", "we", or "our") operates https://manufex.io and the Manufex platform, including the customer, supplier and concierge workspaces reached from it (together, the "Service").
This Privacy Policy governs your visit to https://manufex.io and your use of the Manufex platform, and explains how we collect, safeguard and disclose information that results from your use of our Service.
We use your data to provide and improve the Service: to keep a single, sourced record of every order, to route quotes and changes across your suppliers, and to give your program manager what they need to keep the order moving. By using the Service, you agree to the collection and use of information in accordance with this policy. Unless otherwise defined here, the terms used in this Privacy Policy have the same meanings as in our Terms of Service.
Our Terms of Service ("Terms") govern all use of our Service and, together with this Privacy Policy, constitute your agreement with us ("Agreement").
2. Definitions
PERSONAL DATA means data about a living individual who can be identified from those data (or from those and other information either in our possession or likely to come into our possession).
ORDER DATA means the commercial and technical content of a purchase order and everything that changes it: purchase orders, quotes, drawings and CAD files, revisions, deviations, approvals, delivery dates, certificates of conformance, inspection results and the supplier and buyer correspondence attached to them. Order Data may contain Personal Data (for example, the name and email address of the engineer who approved a revision).
USAGE DATA is data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
COOKIES are small files stored on your device (computer or mobile device).
DATA CONTROLLER means a natural or legal person who (either alone or jointly or in common with other persons) determines the purposes for which and the manner in which any personal data are, or are to be, processed. For account, billing, marketing and website data, we are the Data Controller of your data. For Order Data that a customer routes through the Service, the customer is the Data Controller and we act as a Data Processor on their instructions.
DATA PROCESSORS (OR SERVICE PROVIDERS) means any natural or legal person who processes the data on behalf of the Data Controller. We may use the services of various Service Providers in order to process your data more effectively.
DATA SUBJECT is any living individual who is the subject of Personal Data.
THE USER is the individual using our Service, whether as a buyer, a supplier or a member of a customer’s team. The User corresponds to the Data Subject, who is the subject of Personal Data.

You may opt out of receiving any, or all, of these communications from us by following the unsubscribe link or by emailing tech@manufex.io.
Order Data
When a customer CCs Manufex on an order, connects an inbox, or uploads files, we receive the Order Data needed to build and maintain the record for that order: purchase orders, drawings and CAD, quotes, revisions, deviations, approvals, promised dates, shipping and inspection documents, and the messages exchanged with suppliers about them. We process Order Data only to operate the Service for that customer, and we do not use it to train models made available to other customers.
Usage Data
We may also collect information that your browser sends whenever you visit our Service or when you access the Service by or through a mobile device ("Usage Data").

We use cookies and similar tracking technologies to track the activity on our Service and we hold certain information.
Cookies are files with a small amount of data which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your device. Other tracking technologies are also used, such as beacons, tags and scripts, to collect and track information and to improve and analyze our Service.
You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.
Examples of Cookies we use:
- Session Cookies: We use Session Cookies to operate our Service and keep you signed in.
- Preference Cookies: We use Preference Cookies to remember your preferences and various settings.

Supplier Data
When a supplier is onboarded to the Service, whether by a customer or directly, we may collect the information needed to route and fulfil work: company details, contact names and roles, capabilities, processes, certifications (for example AS9100D, ISO 9001, ITAR registration), locations, capacity and bank or invoicing details required for payment.
5. Use of Data
Manufex uses the collected data for various purposes:
- to provide and maintain our Service, including the order record, quoting and supplier routing;
- to notify you about changes to our Service, or to an order you are part of;

- to fulfil any other purpose for which you provide it;

- to provide you with notices about your account and/or subscription, including expiration and renewal notices, email instructions, etc.;

6. Retention of Data
We will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
Order Data is retained for as long as the customer’s account is active, so the record of an order stays auditable for as long as the order might be questioned. On termination, a customer may export their Order Data and request its deletion, subject to legal retention requirements.
We will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period, except when this data is used to strengthen the security or to improve the functionality of our Service, or we are legally obligated to retain this data for longer time periods.
7. Transfer of Data
Your information, including Personal Data and Order Data, may be transferred to – and maintained on – computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.
Manufex operates from Bangalore and San Francisco and hosts the Service with cloud providers in the United States and India. If you are located outside those countries and choose to provide information to us, please note that we transfer the data, including Personal Data, there and process it there.
Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.
Manufex will take all the steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy, and no transfer of your Personal Data will take place to an organisation or a country unless there are adequate controls in place, including the security of your data and other personal information.
8. Disclosure of Data
We may disclose personal information that we collect, or you provide:

- Other cases. We may disclose your information also:
- to our subsidiaries and affiliates;
- to contractors, service providers, and other third parties we use to support our business;
- to fulfil the purpose for which you provide it;
- for any other purpose disclosed by us when you provide the information;
- with your consent in any other cases;
- if we believe disclosure is necessary or appropriate to protect the rights, property, or safety of Manufex, our customers, or others.
Export-controlled Order Data (for example, ITAR technical data) is disclosed only to persons the customer has authorised for that order, and only within the storage regions the customer has agreed to.
9. Security of Data
The security of your data is important to us, but remember that no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data and Order Data, including encryption in transit and at rest, role-based access controls and audit logging, we cannot guarantee its absolute security.
